This policy explains your options, the steps to cancel, and the terms that apply to various situations.

1.1 Customer-Initiated Cancellations

You may cancel your booking for any of the following reasons:

  • Personal reasons – illness, family emergencies, change of travel plans, work commitments.

  • Change of preference – switching to another travel date, different destination, or other package.

  • Financial reasons – unexpected expenses or inability to complete payment.

1.2 Nature or Environmental-Related Cancellations

We may cancel or reschedule trips due to:

  • Severe weather – storms, heavy rain, flooding, volcanic activity, or other unsafe travel conditions.

  • Natural disasters – earthquakes, tsunamis, landslides, etc.

  • Government advisories – travel restrictions, evacuation orders, or security alerts in the destination area.

In such cases, you will receive a full refund or credit toward a future trip.

1.3 Company or Owner-Initiated Cancellations

Reswara X-Plore reserves the right to cancel due to:

  • Operational issues – equipment malfunction (e.g., drones, transport vehicles), unavailability of guides, or logistical challenges.

  • Minimum participant requirements not met – some group tours require a minimum number of guests.

  • Force majeure – events beyond our control that make it impossible to proceed.

If this occurs, we will:

  • Offer you an alternative date or destination.

  • Provide a 100% refund if you choose not to reschedule.

  • Refund amounts exclude any non-refundable third-party fees (e.g., hotels, airlines, visa services).

  • No-shows (not appearing without prior notice) are considered same-day cancellations and are non-refundable.

  • In force majeure cases (e.g., natural disasters, government restrictions), refunds may be issued as credit for future bookings.

3. Refund Policy

3.1 Method of Refund

  • Refunds are processed via the original payment method (bank transfer, e-wallet, or credit card).

  • Customers may also opt for travel credits/vouchers that can be used for future bookings.

3.2 Processing Time

  • Refunds are typically processed within 5–10 business days after confirmation of cancellation.

  • In special cases (e.g., delays from third-party providers such as airlines or hotels), the process may take longer, and we will inform you accordingly.

3.3 Non-Refundable Costs

Certain costs are strictly non-refundable, including but not limited to:

  • Visa processing fees

  • Insurance fees

  • Third-party service charges (e.g., hotel or flight bookings if already issued)

3.4 Partial Refunds During Trips

If a trip is disrupted after it has started (e.g., due to illness, weather, or equipment failure), unused portions may be refunded proportionally, or alternative activities will be provided.

4. Step-by-Step Cancellation Process

  1. Contact us immediately via WhatsApp, email, or phone.
  2. Provide booking details: name, package, and travel date.
  3. Explain reason for cancellation – personal, environmental, or other.
  4. Wait for confirmation – we will respond within 24 hours.
  5. Refund or credit processing – typically within 5–10 business days.

5. Special Situations

  • Weather disruption during the trip – alternative activities will be arranged, or partial refunds offered if major itinerary parts are canceled.

  • Illness during the trip – medical assistance will be prioritized; unused activities may be refunded proportionally.

  • Owner unavailable due to emergencies – our team will continue operations, or full refunds will be provided if the trip cannot proceed.

  • Drone or camera equipment failure – alternative coverage will be arranged, or partial refund for missed photography/videography deliverables.

6. Terms of Service (TOS) – Cancellation Clause

By booking with Reswara X-Plore, you agree that:

  • Cancellations must be communicated in writing or via official contact channels.

  • Refund eligibility depends on notice period and reason for cancellation.

  • Force majeure events override standard refund rules, allowing us to issue credits instead of cash refunds.

  • Reswara X-Plore is not liable for additional expenses outside the package (e.g., transport to meeting point, visa fees).

7. Why We Have This Policy

Our tours often involve exclusive arrangements, drone videography, and limited-capacity experiences. Late cancellations can impact the livelihood of local partners, guides, and crew. This policy ensures fairness for both our travelers and our operational team
